BoligPortal relaunches digital rental contract and makes it free to everyone

Denmark’s largest portal for rental housing has relaunched its digital rental contract, making it possible for landlords to fill in, store and manage their rental contracts securely, electronically, and not least for free.

Since 8 June 2021, landlords have been able to create an unlimited number of free digital rental contracts on BoligPortal, and it is not a requirement that the property is advertised on BoligPortal. However, the solution has been available on BoligPortal for the past three years, but in connection with the relaunch, it has been improved and is now free of charge.

With a digital rental contract, you avoid all the administrative hassle
The starting point of a good tenancy is a good rental contract. A rental contract is important, because it clarifies what the tenant and landlord have agreed in case of disagreements. In addition, a rental contract is a condition of the landlord being able to use Clause 11 to agree special terms with the tenant, and thus obtain better rights than the general rules of the Danish Rent Act.

BoligPortal’s digital “contract builder” generates a standard A9 rental contract that can be signed online with NemID and downloaded as a PDF. It saves the landlord all the administrative hassle of printing the contract and either meeting with the tenant to get a manual signature or asking the tenant to print the rental contract, sign it, scan the document, and send it back to the landlord.

The rental contract’s Clause 11 special terms
The digital rental contract contains intelligent automated solutions that save landlords time and minimize costly errors. With BoligPortal’s digital rental contract, landlords get more than forty tailor-made wordings for Clause 11 of the contract. In fact, the intelligent and automatic contract generator ensures a tailor-made Clause 11 that complies with the Danish Rent Act.

For example, the rental contract ensures that the landlord can charge two weeks’ rent at the end of the notice period. In this way, it is legal for the landlord to receive rent during a two-week refurbishment period.

For example, if the tenancy is for a fixed term, a standard wording will also automatically be added to Clause 11 of the rental contract, if the box ‘the tenancy is for a fixed term’ is ticked. This standard wording reminds landlords, among others, that an objective reason is required to limit the duration of a tenancy.

GDPR-secure storage of the digital rental contract
Under GDPR rules, a digital rental contract has two main advantages over a physical document. It acts firstly as a guide to what personal data the contract may contain, and secondly, as a tool as to how to store the rental contract securely. Together, these two advantages make it easier for landlords to comply with the GDPR.

The digital rental contract sets the framework which prevents any unauthorized person from gaining access to either general or personal data, unlike if landlords keep rental contracts in paper form in ring binders, on email or in folders on a computer.

In addition, the contract data is stored securely in large reputable data centers in Europe, which store the data until the landlord wants it deleted. Furthermore, when the tenant and landlord communicate through BoligPortal’s messaging system, the messages are encrypted to comply with current GDPR rules.

Complete overview of all your rental contracts
It can be difficult for landlords to keep track of their rental contracts, especially if they are kept in paper form or as email attachments. With BoligPortal’s digital rental contract, landlords get a complete overview of all their rental contracts in one place, where contracts are stored for all tenancies. This overview allows landlords to see whether tenants have signed their contracts and the exact dates.

If a landlord needs to rent out a property that has already been rented out through BoligPortal, it is also possible to duplicate rental contracts, so the landlord would only need to add the new tenant’s information.

House rules
House rules are useful for setting guidelines for the tenants of a property. If house rules have been drawn up, these should be attached to the contract and a note made to that effect in Clause 10 of the rental contract.

The digital rental contract provides the option to attach BoligPortal’s standard house rules, which contain all the points that a standard set of house rules should contain. For example, the standard house rules regulate the tenant’s responsibility for guests, use of common areas, noise, play, parties, and the tenant’s household waste. However, it is also possible to attach your own house rules if you prefer.
